How to Submit a Per Diem Claim
If your company offers per diems for business travel, you can submit a claim through the Hyper platform in just a few steps. Per diems are daily allowances provided to cover travel-related expenses such as meals, lodging, and incidentals.
If your company has set up per diem policies, they will automatically appear in the per diem section when you are assigned to an eligible trip.
Accessing Per Diems
- Log into your Hyper dashboard.
- From the left navigation menu, click Travel.
- From the drop-down menu, select Per Diems.
- The Per Diems page will open with two tabs:
- Active: Lists all active per diems associated with trips you have created.
- Inactive: Shows per diems from past trips that are no longer active.
- In the Active tab, you will see:
- The per diem policy for your trip.
- The total per diem budget.
- The expiry date for the allowance.
- Each active per diem includes two action buttons:
- See All Claims: Displays all claims you have submitted for that per diem.
- Create Claim: Allows you to submit a new claim.
Submitting a Per Diem Claim
To submit a claim:
- Click Create Claim in the active per diem.
- In the new window, you have two ways to submit:
Option 1: Enter Details Manually
- Upload your receipt.
- Fill in the required details in the fields provided.
- The associated trip will be shown in the claim window.
Option 2: Use the TARS AI Assistant
- Drag and drop your receipt into the TARS chat box.
- TARS will extract and auto-fill the required details.
- If additional information is needed per your company’s per diem policy, TARS will request it.
- You can also ask TARS questions such as: “What is my per diem policy?”, “What is the grace period I have to submit my per diem?” etc.
Review and Submit
- Check all details for accuracy.
- Make any changes if needed.
- Click Submit at the bottom right of the screen.
Important Notes
After your trip ends, there is a grace period, which is set by your admin, during which you must submit your per diem claim. If you are unsure of the grace period, ask your admin or the TARS assistant. Once submitted, your claim will either:
- Be auto-approved if it meets your company policy.
- Go to admin review if manual approval is required.
- There is no expiration date for your admin to approve after submission, but claims must be submitted before the grace period ends.
